Everlay is responsible for deciding how and why your personal information is used. You can contact us about privacy at info@everlay.co.uk.

Information we may collect

Depending on how you contact us and the support you request, we may collect:

  • your name, email address, telephone number, address and preferred contact method;
  • information about your loved one and the circumstances relevant to the arrangements;
  • family relationships, wishes, correspondence, appointments and service choices;
  • payment, invoice and transaction information;
  • religious, cultural, health or other sensitive information where it is relevant and appropriate;
  • basic technical and security information created when you use the website.

Please avoid including unnecessary medical, financial or identification information in your first email.

How and why we use it

We use personal information to respond to enquiries, take steps at your request before entering a contract, arrange and deliver services, coordinate third parties, manage payments and records, meet legal obligations, protect our systems and improve our service.

Only where necessary, we may share relevant information with organisations involved in the arrangements, including Hinzen and its ministers, crematoria, cemeteries, officiants, faith organisations, florists, transport providers, doctors, coroners, registrars, local authorities and other suppliers chosen for the funeral. We may also use trusted email, website, payment, accounting and professional-service providers, or disclose information where the law requires it.

We do not sell personal information.

International transfers and security

Some technology providers may store or process information outside the UK. Where this happens, we will use providers and safeguards permitted by UK data-protection law. We use reasonable organisational and technical measures to protect information, although no email or internet service can be guaranteed completely secure.

How long we keep information

We retain information only for as long as reasonably necessary for the purpose collected, including providing services, responding to enquiries, meeting tax, accounting, regulatory and insurance requirements, and resolving disputes. Retention periods depend on the type of record and any legal obligation. Information no longer required is securely deleted or anonymised.
